General description: Reporting to the Senior Director, Budget and Administration, K-16 Initiatives, the Budget Analyst will contribute to the development of budgets, budget reports, and campus award letters.  

Responsibilities: 

Budget Management 

  • Draft budget reports and spending projections; communicate budget information to relevant program directors
  • Monitor and track expenditures by program and account
  • Design customized, comprehensive tracking tools for programs with multiple funders, including allocating payroll expenses across accounts for those programs
  • Create and maintain internal expenditure reports, and assist programs with oversight of project budgets and expenditures
  • Revise tax levy budgets to submit for budget modification approval during the fiscal year
  • Work with the Fiscal Manager to review reports of tax levy OTPS expenditures
  • Review reports of tax levy personnel projections

Contract Management 

  • Work closely with each program that provides invoices to DOE partners and other funders; generate and maintain records of work orders, invoices, requisition numbers, and payments, with follow-up on unpaid invoices as needed
  • Prepare and monitor progress for Contract Intake Forms and supporting documentation; request access to RF accounts for appropriate staff
  • Maintain current insurance documentation and other requirements for government contracts
  • Submit budget modifications and journal entries as needed to spend contract funds efficiently 
  • Maintain tracking and monitoring of budget transfers, establishment of sub accounts and progress of journal entries.

Funder Proposals and Reports 

  • Prepare budgets for funding proposals
  • Prepare budget reports for grants and contracts on a timely basis

Campus Awards 

  • Coordinate the development of budgets for campus sub-awards

Other Duties

Other duties include: 

  • Actively participates in DEI initiatives throughout the K16 unit 
  • Contributes as necessary to efficient operations of the K-16 office; 
  • Responds to requests and inquiries in a timely and thorough manner; 
  • Performs other duties as necessary and/or as assigned, to support K-16 programs’ smooth operations. 

Qualifications

Qualifications  

Bachelor’s degree required, preferably in finance, accounting or related discipline and at least three (3) years of experience. 

 

Other Qualifications:  

  • Experience creating and using Excel spreadsheets and Google Docs 
  • Experience analyzing data and monitoring budgets 
  • Detail oriented and accurate, with strong computational and analytical skills 
  • Ability to communicate effectively, verbally and in writing 
  • Proactive, flexible, and customer-oriented 
  • Ability to maintain a professional demeanor in all interactions with colleagues and external partners, in a fast-paced, time-sensitive, and high-volume setting 
  • Strong organizational skills to prioritize work, complete assignments, and meet deadlines 

 

 

Physical Demands and Environment Requirements 

  • This position is located in a professional office environment and is currently hybrid, working 70% in person (7 days) in the office and 30% remote (3 days) during every two-week payroll cycle. A laptop may be provided if needed to support working remotely.  

 

As of May 27, 2022, all candidates will be required to provide proof of being fully vaccinated against COVID-19 upon commencing employment.
